Managing Global Knowledge Sources

Global Knowledge Sources is where you manage the source library available to your Marketing Agents. Add and review files, web URLs, and connected integrations here before selecting sources for individual agents.

Open Knowledge Sources

  1. Log in to app.docketai.com.

  2. In the left navigation, open Knowledge Sources.

The Knowledge Sources page includes tabs for Files, Web URLs, and Other Integrations.

Files

Use Files to review uploaded file-based sources.

The Files view includes:

  • Upload

  • Search for files

  • Suggested for You

  • All Files

  • Ingestion Jobs

  • A table with Filename, Sources, Engagement, No. of References, and Last Updated

Use this view when you need to upload or audit document-based content before assigning it to an agent.

Searching and Filtering Sources

Use the search field when the source library contains many files, URLs, or synced records. Search by source name, filename, domain, or other identifying text that appears in the table.

When reviewing sources, check:

  • Whether the source is the current version.

  • Whether the source type matches what you expect.

  • Whether the source is available for agent selection.

  • Whether similar sources could confuse an agent owner.

Clear the search before assuming a source is missing.

Web URLs

Use Web URLs for website or page-based knowledge sources. This is where URL-based ingestion belongs before those sources are selected for a specific agent.

Use Add Source to create a domain or individual-URL ingestion job. For a domain, the current flow can auto-discover a sitemap through robots.txt, exclude links, and schedule automatic re-sync every 30, 14, or 7 days.

Other Integrations

Use Other Integrations to review connected knowledge integrations. The exact integrations available depend on your account setup.

Connected integrations such as Google Drive, SharePoint, Intercom, Slack, or Teams can provide source content after the integration is connected in Settings. Add or sync the content globally first, then select only the relevant source records for each agent.

How Global Sources Relate to Agent Sources

Global Knowledge Sources are the account-level library. Individual agents use selected sources from that library.

The typical workflow is:

  1. Add or sync source content in Knowledge Sources.

  2. Open an agent.

  3. Go to the agent's Knowledge tab.

  4. Use Sources to select which global sources that agent should use.

Verify the Global Source Workflow

  1. Add or sync the source in the appropriate Files, Web URLs, or Other Integrations area.

  2. Confirm the source appears in the global library with the expected name, source type, and current status.

  3. Open the intended agent and select the source from Knowledge > Sources.

  4. Preview the agent with a question that should use the source and one that should not.

The workflow is complete when the source is visible globally, selectable for the intended agent, and used only for the expected preview questions.

Best Practices

  • Keep global source names clear so agent owners can choose the right content.

  • Remove or replace outdated source content before it affects agent answers.

  • Review Ingestion Jobs when newly added sources do not appear as expected.

  • Use focused source selections per agent rather than giving every agent every source.
